Cancelling and rescheduling

Cancel a booking with a reason or move it to a new time.

Who can cancel or reschedule

Both you and your customers can cancel a booking. Rescheduling — picking a new time — is handled the same way: cancel the old slot, book the new one. Any change triggers an automatic notification to the other party so nobody is left guessing.

As a business owner or staff

  1. Open Schedule from the admin nav and find the booking.
  2. Click the booking to open its details panel.
  3. Choose Cancel to free up the slot, or Reschedule to pick a new time on the same or another day.
  4. Confirm the change. The customer receives an email (and SMS, if enabled) explaining what happened.

As a customer

Every confirmation and reminder email contains a Manage booking link. Customers can cancel from there without needing an account. If they want a different time, they cancel and re-book through your public booking page.

The manage link is unique to each booking and expires once the booking is past. Don't share it publicly.

What customers see

  • A clear "Cancelled" or "Rescheduled" email with the new time if applicable.
  • If they have SMS notifications on, a short text covering the same info.
  • The booking moves to a cancelled state in their booking history.

Refunds for paid bookings

If the booking was paid online, the refund follows the service's payment and refund policy:

  • Customer cancels in time (within the cancellation window, on a service set to Full refund within window) — automatic full refund.
  • Customer cancels late, or the service is set to No refund — the charge stands.
  • You cancel from admin — you can override the policy and force a full refund or no refund. Without an override, the policy decides.

Refunded bookings are marked Refunded in the schedule and the customer is emailed a refund receipt automatically.

Things to know

  • Cancelled bookings stay in your records — they aren't deleted. You can still review them from the schedule's history view.
  • If you reschedule into a slot a different customer just took, the system will warn you before saving.
  • Frequent last-minute cancellations? Consider tightening your booking lead time in Settings.
