Staff seat limits

How seats are counted and what happens when you reach the limit.

Staff seats are part of your subscription plan. A seat is consumed by each active staff member; the owner doesn't count against the limit.

What counts as a seat

  • Active staff member — counts.
  • Pending invite — does not count until accepted.
  • Deactivated staff — does not count.
  • Owner — never counts.

When you hit the limit

The Invite staffbutton disables and shows a notice. Existing staff continue to work normally. To free up a seat, deactivate someone who isn't using the system — see Activating & deactivating staff.

Adding more seats

Open Settings → Billing and pick a plan with a higher seat count, or contact [email protected] if you need a custom number. New seats become available immediately.

Removing vs deactivating

Deactivating frees the seat and preserves the staff member's booking history. Removing them entirely is irreversible — their past bookings remain in your records but you lose the link to their profile. Prefer deactivation unless you have a specific reason to remove.
